Plan a U.S. passport renewal around the application route you qualify for and the total time until delivery—not just the published processing range. An application can spend time in the mail before processing begins and after the new passport is issued. A departure date inside that total window needs a different decision from a distant trip.

Start with the passport's issue date, expiry, condition and name, plus your actual international travel date. These determine which questions to resolve before sending documents or buying a restrictive ticket.

Choose the route before calculating the calendar

The State Department's mail-renewal instructions require, among other conditions, your most recent passport, issued within 15 years, issued at age 16 or older and valid for ten years, not reported lost or stolen, and undamaged apart from normal wear. You must meet the name requirements too. Children under 16 use a new application rather than this renewal route.

Do not send a renewal package simply because you already had a passport. If the document or circumstances do not qualify, follow the application process the authority identifies. Applying outside the United States has separate instructions.

Online renewal is routine service and cannot be expedited at submission. You must be at least 25, be in a U.S. state or territory, and have a qualifying ten-year passport that expires within one year or expired less than five years ago. You must have it with you, undamaged and not reported lost or stolen; you cannot change personal information through this route. You must also have no travel planned for at least six weeks after submission. Check the full eligibility list before applying.

Online applicants keep the old passport rather than mailing it, but the authority cancels or invalidates the document being renewed. Keeping the book in your drawer does not mean you can continue using it internationally after cancellation.

Processing is only one part of the wait

The official processing-time page currently lists routine processing at four to six weeks and expedited processing at two to three weeks. It separately allows up to two weeks for an application to arrive and up to two weeks for delivery after mailing. Those mailing periods are not included in the processing range.

For a hypothetical planning exercise, adding the upper routine estimate to both mailing allowances produces a much longer window than six weeks. This is not a promised ten-week delivery date: the actual route, delivery choice and a request for more information can change the timeline. The point is to avoid treating the processing range as a door-to-door commitment.

A friend's application arriving quickly is not evidence that yours will. Record what the official page said when you applied and follow the individual status updates. Keep any shipping tracking separately from the government application status; delivery of the envelope is not approval.

When travel is close

The State Department's passport-agency appointment instructions distinguish people who have not applied from people with an application already in process. Urgent appointments require international travel within 14 days, or a foreign-visa need within 28 days. An agency is different from a passport acceptance facility such as a post office.

  • Not yet applied: use the official Online Passport Appointment System linked from those instructions. Enter the real travel details, choose an available appointment and complete its confirmation.
  • Already applied: call the National Passport Information Center through the official instructions and provide your application locator and travel date. The department can contact the agency processing your case or arrange an appointment if appropriate; do not submit a duplicate application to join another queue.

Making an appointment is free; passport application and expedited-service fees are separate. Availability is not guaranteed. Someone selling an appointment is not selling an official faster-processing entitlement. If a visa is still needed, include that deadline when choosing the route rather than counting only days until the flight.

Make an application file that supports follow-up

  • Route selected and submission date.
  • Copy of the completed application and payment record where appropriate.
  • Delivery tracking for mailed documents.
  • Official application reference and status instructions.
  • Any request for further information and your response.
  • Current mailing address and international departure details.

Review the form, photo and required supporting documents before submitting. A preventable correction can matter more to your trip than choosing the fastest advertised service. Use the payment and delivery instructions for your application route rather than mixing directions from different processes.

Check messages regularly and respond through the stated official channel. Keep the actual response and delivery evidence. Sending a document is a step you can prove; assuming it has been accepted is not.

Once the new passport arrives

Inspect the name and other details promptly. Then revisit destination and transit requirements, outstanding visa applications and records linked to the previous document. Do not assume a passport arriving before departure resolves every entry condition.

Supporting documents and the old passport may arrive separately from the new book. If an old document contains a visa you intend to use, account for that separate return and verify the visa issuer's instructions. Do not plan around having every item in the same envelope.

Frequently asked questions

Does expedited processing include mailing time?

The published processing range excludes mailing time. Read the separate delivery options and total-time guidance before comparing the estimate with your departure.

Is online renewal automatically faster?

No. It has separate eligibility and routine-service conditions. It should not be chosen as an urgent-travel shortcut.

Can I travel with the old passport while renewing online?

Do not use the passport after the authority cancels or invalidates it through renewal. Physical possession does not establish continued validity.

Can a family rely on everyone receiving passports together?

No. Track each application and document separately. One completed renewal does not establish that the other travelers are ready.

Should I buy a nonrefundable trip based on the estimate?

An estimate is not an individual delivery commitment. Assess the total timeline, remaining entry-document steps and the financial consequences if the passport is not ready.
