Mexico travel receipts: organize hotel and transport evidence
Save supplier details, booking terms and payment records for travel purchases in Mexico, then organize a clear request if a hotel or transport service fails.

For a hotel or transport problem in Mexico, keep evidence of both the purchase and the service you expected. A card transaction shows that money moved; it may not establish the room type, pickup instructions, cancellation terms or promised refund. A useful evidence folder connects those details without making the recipient reconstruct your whole trip.
You do not need a dispute to start organizing. Save the booking description and conditions when you pay, then add changes as they happen. This guide explains a practical recordkeeping method and where to check Mexico's consumer complaint options. It does not promise that a receipt alone entitles you to reimbursement.
The four records that answer different questions
| Record | What it helps establish | What it may leave unclear |
|---|---|---|
| Booking confirmation | Guest, dates, reference and selected service | The final amount paid or a later amendment |
| Terms and product description | What was included and which conditions you accepted | Whether the service was actually delivered |
| Receipt or payment record | Amount, currency, date and payment recipient | Why a particular charge is disputed |
| Messages and incident record | What changed, when you reported it and the response | Whether the proposed remedy was completed |
Keep original emails and downloadable documents as well as screenshots. A cropped screenshot that omits the date, business name or selected product can be difficult to interpret. If a page is likely to change, save the version relevant to your purchase and note when you captured it.
Build one folder for each purchase
Separate the hotel booking from an airport transfer, tour or later replacement purchase. You can still connect the folders in a trip timeline, but the contract, provider and requested solution may differ. Give each folder a simple name containing the service date and supplier.
- Purchase: confirmation, booking reference, seller identity and contact details.
- Promise: the room or transport description, inclusions, total price and cancellation conditions.
- Payment: receipt, relevant transaction and any refund confirmation.
- Changes: approved amendments and messages about delays or access.
- Problem: a factual timeline, supporting photographs where appropriate and the solution you requested.
A possible file label is “2026-10-18_airport-transfer_booking.pdf.” The point is consistency, not a special naming system. Do not put full passport or card numbers into filenames, especially when files are shared through links.
For a hotel, record the stay you actually booked
Save the property name and address, guest name, arrival and departure dates, room type, occupancy, included meals and any confirmed access arrangements. If you paid for a particular feature, keep the wording that describes it. A generic room photo may not establish which category you bought.
If the issue is a date or guest mismatch, preserve the original booking and the request to correct it. Our hotel booking and passport-name guide can help organize the identity discussion. Keep any acceptance from the property; a request sent is different from a correction confirmed.
For a disputed charge, ask for an itemized explanation. Separate the stay price, deposit, additional purchase and any alleged damage or no-show charge. Do not describe every temporary card entry as a completed payment without checking what your statement actually shows.
For an airport transfer, record the pickup agreement
Retain the date, local pickup time, airport and terminal you supplied, flight reference if requested, meeting point, passenger count and provider's delay instructions. If you amended any of these, keep both the message and the acceptance.
Hypothetical example: a traveler reaches Terminal 2, but the saved booking specifies Terminal 1. The first question is which terminal was agreed and whether a correction was accepted. If the provider confirmed Terminal 2 and did not arrive, that confirmation is important. A receipt for a replacement taxi records another expense; it does not, on its own, determine who must repay it.
Write down attempted contacts and responses without guessing why the driver or supplier was unavailable. If a phone call is the only communication, make a dated note and request written confirmation of any agreement reached.
Write a short timeline before sending a complaint
Use local dates and times and keep the sequence factual. State what you bought, what happened, what you asked for and how the supplier responded. Separate the original purchase amount from additional spending and amounts already returned.
Example structure: “I booked [service] for [date], reference [number]. The confirmation specifies [relevant promise]. On [date/time], [specific event occurred]. I contacted [channel] and received [response]. I am requesting [specific remedy]. Attached are the confirmation, relevant conditions, payment record and correspondence.”
Replace the brackets with your facts. Avoid allegations about motive or a long account of unrelated holiday problems. If the supplier offers a remedy, save its scope, acceptance conditions and evidence of completion rather than relying on a verbal promise.
Check the appropriate Mexico complaint channel
Profeco's official complaint guidance is the starting point for checking the required information and supporting purchase documents. Use the procedure applicable to your case rather than assuming every travel problem belongs to the same authority or can use the same form.
Concilianet identifies participating providers and its online conciliation route. Check whether the business is registered before treating that route as available. The site also directs consumers toward Profeco offices for other providers. Use the current official instructions for where and how to submit documents.
Identify the seller and the actual service provider. An online agency may have taken payment while a different company operated the transfer or hotel. Ask which business is responding and what part of the booking it controls. Keep separate records for any bank dispute or insurance claim; tell each recipient about relevant refunds or credits so the amount requested is clear.
Protect your information while keeping usable evidence
Keep a private original folder and prepare copies appropriate for each recipient. A public review should not expose a passport, home address, booking access code or full card number. An official process may request identity information, but submit it through the verified channel and follow its instructions rather than posting it publicly.
If an airline change caused the accommodation or transport issue, retain that notice alongside the booking record. Our Delta flight-change guide is relevant when Delta is your carrier; changing a flight does not automatically amend a separate hotel or transfer reservation.
Frequently asked questions
Is a bank statement enough to explain the problem?
It helps establish payment, but add the service confirmation and relevant terms. The recipient needs to understand what the purchase was supposed to provide and what went wrong.
Should I keep the receipt for replacement transport?
Yes. Save it separately, with a note explaining why you used it. Keep the original supplier's response too. Reimbursement depends on the applicable arrangement and process, rather than the receipt alone.
Can every hotel dispute be submitted through Concilianet?
Do not assume so. Check the participating-provider list and current instructions. If that business does not use the route, consult Profeco's official guidance for alternatives.
What if the supplier promises a refund by phone?
Ask for written confirmation of the amount, currency, method and expected timing. Keep the actual refund record when it arrives, and distinguish a promise from a completed repayment.
